Sales Assistant – Caribe Royale Orlando Hotel 3.7 3.7 out of 5 stars Orlando, FL 32821 Scope of Position The Sales Assistant primary responsibility is to assist and support the Sales Team with all aspects of Group Sales including effectively communicating with hotel operations team, merging contracts, assisting with reaching out to clients where necessary, and any other duties as assigned. Position Requirements Minimum 1 year of coordinator experience in a hotel preferred. Professional demeanor appropriate for a resort environment. Detailed-oriented, quality focused, and resourceful with excellent verbal and written communication skills. Effective planning and organizational skills to implement multiple projects and meet deadlines. Ability to effectively interact with internal and external clients. Responsibilities Provides administrative and clerical support to the directors and sales managers, including tasks such as contract merging, work processing, typing, emailing, filing, data entry, copying, correspondence, answering phone calls, processing mail, taking meeting notes, arranging travel, and handling various general office duties. Performs data entry using Microsoft Work, Delphi, Excel, including tasks such as creating correspondence, reports, presentations, direct mail pieces, contracts, and internal forms. Assist with distributing leads to the appropriate sales manager based on the booking parameters. Responsible for preparing sales-related documents, proposals, and contracts to inform prospective clients about hotel suite availability, meeting spaces, dates, and rates. Handles VIP and client reservations (non-site related), including initiating bookings, preparing rooming lists, and updating existing reservations as needed. Communicate with external customers as directed by the directors or managers, including handling billing reconciliation when required. Perform any other reasonable duties as required by management. Education High school diploma or GED; 2 years’ experience in guest services, administrative, or related professional area. OR 2-year or 4-year degree from an accredited university in Hotel Management, Hospitality, Business Administration, or related major. Skills and Abilities Ability to communicate in the English language. Second language is a plus. Ability to work flexible schedules including holidays and weekends and able to perform multiple tasks. Experience using computers and software programs such as Microsoft Office (Word, Publisher, Excel, PowerPoint, and Outlook). Comfortable with the use of the Internet as a research tool. Physical Requirements On a continuous basis, sit at a desk for long periods of time in front of a computer screen. Intermittently twist to reach equipment or supplies surrounding desk. Perform simple grasping and fine manipulation; use telephone and computer keyboard daily. Must be physically fit to lift, pull, and push items up to 50 pounds.
