Wholesale Accounts Coordinator Job Summary:

The Wholesale Accounts Coordinator plays a key role in supporting the success of our year-round wholesale department, which experiences peak activity from mid-summer through the end of the year holiday season. The position is responsible for receiving and processing orders from wholesale customers, ensuring order accuracy and timely billing, and maintaining effective communication with both staff and external clients. This role also includes data entry, crop tracking, and label printing for outgoing products.

The ideal candidate will demonstrate strong organizational skills, excellent communication skills and a collaborative attitude while working closely with the production manager, orchard owner and packing hour staff.

Minimum Qualifications:

Must be 18 years of age or older Strong written and verbal communication skills Basic computer proficiency (email, spreadsheets, order entry systems) Ability to follow verbal and written instructions form managers Ability to work independently and collaboratively as part of a team Preferred experience/skills Previous experience with wholesale accounts or agricultural sales Experience using inventory or accounting software systems familiarity with label printing and crop tracking processes.

Primary responsibilities:

Receive and input wholesales orders; prepare and relay pick tickets to fulfillment staff Review order fulfillment for accuracy and follow up on discrepancies Prepare and issue customer invoice; handle basic accounts receivable communications Maintain accurate records of inventory and incoming crops using internal software systems Print labels for bins and containers in alignment with packing schedules Coordinate with the production and distribution of wholesale availability lists (Mailchimp or other platforms) Communicate with packhouse staff regarding upcoming orders and shipping logistics Great wholesale customers upon arrival and coordinate loading support as needed Maintain positive, professional relationships with customers while addressing questions, order changes or concerns Follow food safety and quality assurance standards in all job junctions 4

Structure:

This role typically oprationes Monday-Friday with occasional Saturdays, between the hours of 7AM and 5PM with occasional earlier shifts during peak season.
