Position Summary:
The Business Development Operations Coordinator role is a critical administrative and project management position within our Business Development team. Acting as the operations coordinator of the department, this individual will be responsible for coordinating team activities, maintaining operational systems, and ensuring strategic projects are moving forward on time and with precision. This role requires exceptional organizational skills, clear communication, and a sharp ability to manage competing priorities.
Key Responsibilities:
Administrative & Operational Support Schedule internal meetings, maintain calendars, and coordinate internal and external communications for the Business Development team. Organize and maintain documents, reports, and CRM data (e.g., HubSpot), ensuring accuracy and accessibility. Support the use and implementation of sequences through HubSpot. Prepare agendas, track meeting notes, and follow up on action items to ensure momentum. Assist with proposal submissions, vendor applications, and compliance documentation. Monitor and track inbound opportunities including designing and monitoring campaigns. Maintain conference calendar and schedule. Assist Director of Business Development in scheduling travel. Project & Process Management Serve as the operational lead for business development initiatives, ensuring timelines, responsibilities, and deliverables are clear and met. Track the status of proposals, partnerships, and outreach efforts, using project management tools to keep efforts aligned. Support cross-functional projects in collaboration with Sales, Marketing, Program Management, and Executive Leadership. Develop and maintain internal systems to increase efficiency across business development activities. Analyze and report on team performance metrics, lead flow, and opportunity conversion rates.
Qualifications:
2+ years of experience in an administrative, project coordination, or business operations role (experience in education, staffing, or consulting is a plus). Strong organizational and time-management skills with excellent attention to detail. Proficiency with productivity tools (e.g., Microsoft Office), CRM platforms (HubSpot preferred), and project management tools (e.g., Trello, Asana, or ClickUp). Excellent verbal and written communication skills. Ability to manage multiple tasks simultaneously and thrive in a fast-paced, mission-driven environment.
