Director of Sales Position Summary:
The Sales coordinator, you will be responsible for actively managing all the sales related activities at the property and general administration work required around it. You will be responsible for supporting Sales personnel in managing and developing sales database, cold calling, and assisting to increase the sales reach. You will also be responsible for supporting the sales function by actively researching for new projects, sales leads, changes in market conditions and economy and be informed of changes in the competitive landscape. As a key contact at the property, you will strive to be its brand ambassador Responsible to: Sales Operations Liaises with:

Core duties and responsibilities include the following. Manages all administrative duties with regards to managing sales database, contracts Keeps an up-to-date sales diary of key events and sales trips Maintains General client interaction and supports the sales function as and when required Coordinates and follows-up with clients on all new contracts including group requirements. Manages Site Inspections of the property for contracting purposes for different segments such as corporate accounts, and groups Research for market and competitive landscape. Key events and new developments in the city Gains insights in competitive pricing for different segments Document client correspondence using the correct forms/processes. Attend meetings as and when required. Approach all customers in an attentive, friendly, courteous and service-oriented manner. Adheres to established company standards, sales standards. Develop a full working knowledge of the operations and policies of the property. Perform any other duties as requested by the Director of Sales. Corporate/Leisure Accounts Organizes site inspections for the purpose of showing and contracting Assists Director of Sales with follow-ups for corporate contracts Participates in cold calling and assists in increasing the sales reach for corporate accounts Manages sales collateral and sales giveaways Manages sales trade show participation and early bird entries Coordinates with distribution for relevant content creation Groups Prepares group correspondence (group contracts, group resumes, catering orders for the Sales Department and oversee distribution to appropriate departments at the property. Coordinates with the appropriate departments at the property, resolves complaints and problems to ensure quality product delivery and customer satisfaction. Maintain accurate data entry of group information in the sales and property management systems. Maintain accurate group file trace systems to include timely follow ups related to applicable terms as outlined in the group contracts to include but not limited to receipts of deposits, rooming lists, due dates, cut off dates, and commissions. Provide service to clients with confirmed booking contracts to include timely creation of booking links, monitor rooms pick up, rooming list collection and entry into property management system, reservation changes, special requests. Collects proper payment for groups in accordance with group contract terms. Assist sales with site inspection of rooms.
Experience:
Minimum of 2-3 years’ experience in hospitality (resorts/hotels/restaurants/others) sales management highly desirable. Must be able to manage multiple priorities simultaneously; communicate effectively at all levels; and demonstrate the ability to analyse and resolve problems. Strong organizational, communication, and interpersonal skills. Proficiency in Microsoft Office Suite (e.g. Word, PowerPoint, Outlook) and spreadsheet management (Excel). Ability to handle confidential information with discretion. Ability to communicate and train property teams in selling skills, customer management.
Education:
Bachelor’s Degree preferred General experience in accounting procedures General experience in administrative tasks
Flexible Scheduling:
Must be able to work Evenings, Friday, Saturday, Sunday, On-call and Holidays.
Physical Demands:
While performing the duties of this job the employee is required to walk, stand, stoop, kneel, crouch or crawl. The employee is required to use his/her hands and fingers to feel, and reach for objects of various sizes, shapes, and weight. Prolonged periods sitting at a desk and working on a computer. Must be able to lift to 15 pounds at times.
Work Environment:
Fast-paced office setting with occasional on-site coordination. Regular interaction with department heads, vendors, and corporate teams.
