This person must be well organized, flexible and enjoy the challenges that come with a high-volume luxury resort property. Must have the ability to interact with staff (at all levels), guests, members, and clients in a fast-paced environment, sometimes under pressure, while remaining resourceful and efficient, with a high level of professionalism. Excellent written and verbal communication skills in English, strong decision-making ability and attention to detail are critically important to this position. Essential Functions Represents hotel by soliciting, responding to and negotiating with companies and persons requiring group accommodations (generally, under 30 guest rooms per night) with or without meeting space and/or on-site (hotel) catering, based upon market segment and account files assigned by the Director of Sales/ sales leadership. Represents hotel in significant interactions dealing with customers relative to sales and operational questions, concerns and issues. Negotiates contracts with customers and commission agreements with third party agencies. Tracks target bookings from assigned territory. Specializes in the value propositions of small, high-end events with special focus on the Yacht Club and Beach Club. Can effectively manage high volume while being fluent in understanding the needs of luxury groups with short term booking windows. Focus on accurate, efficient and polished communications to secure business with urgency. Committed to creating a luxury, customer focused sales and Resort environment in all written and verbal communications. A positive team player who leads by example in following Resort standards, SOPs, guidelines and helps to encourage this pursuit throughout the Resort. Promotes the goals and objectives of the Sales Department throughout the Resort. Meets with clients on property and works in tandem with sales colleagues on shared bookings/business. Entertains new clients to funnel new luxury business for the Resort. Supports sales counterparts not in an administrative role but in a congenial, dual contact role for customers, as many accounts will have multiple bookings of various sizes for the Resort. Fluent in the understanding of managing bookings inside of Accounts. Can develop and manage an account to understand key contacts, decision making processes, target bookings, booking history and drivers and competency to understand the Resort’s booking guidelines to identify business that fits the Resort’s criteria. Conducts thoughtful, detailed site visits, interactions and customer events following Resort SOPs and guidelines to ensure best opportunities to secure business. Initiates the preparation of proposals and/or contracts to advise availability and pricing to prospective customers of the hotel guest rooms and meeting & event space . Develops and quotes prices for the Resort’s overall success. Is fluent and continually developing sales skills, negotiation abilities and contracting abilities. Develops sales forecasts to make individual goal achievement, collects & reports of sales data. Monitors the successful execution of these plans and oversees the maintenance of sales files, accounts, and other administrative duties. Supports sales leadership to effectively manage a team of coordinators, assistants, and liaise with other departments. Responsible for owning the “customer journey” from assigned territory to be the point of account to the client and internal stakeholders. Responsible for creating a five-star sales and service experience in all customer touchpoints; proposal phase, timely communications, entertainment, accuracy, and professionalism of proposals/contracts/ as well as all written and verbal communications. Responsible for creative and detailed site visits that align to the value propositions relevant to win the business. Responsible for attending or finding coverage for pre/post cons, preplanning visits and all sales interactions including amenities, executive introductions, etc. Adhere to all SOPs for department and Resort. Remain flexible in a demanding, sales focused environment. Welcome new tasks, trainings and responsibilities as assigned. Express a desire to continually learn and develop oneself. Be a positive contributor to the daily team environment and success of the sales team and Resort’s financial objectives. Ensure the physical office environment is neat, tidy, and organized at all times. Create positive relationships with other departments to ensure success of all guests and group customers. Participate in daily/weekly sales meetings, revenue management meetings and training. Develop and maintain knowledge of market trends, competition, and customers. Career development for this position is Sales Manager. Internal Relationships Reports to the Director of Group Sales. Works closely with sales colleagues and administrative support staff, as well as various members of the resort leadership and operations teams. Attend morning line ups engaging with internal teams to educate our internal clients on resort key group accounts and partnerships. External Relationships Has regular ongoing contact with clients from assigned market segments as well as Resort’s representation firm sales partners and CVB counterparts. Also has regular contact with resort guests and members. Maintains appropriate relationships with these and other constituencies to enhance the business of the Resort and the attainment of its objectives. Qualifications Working knowledge of group market and related meetings industry. Basic hotel product knowledge, i.e., staffing, operations, safety, security, terminology, and hotel policies. Basic knowledge of the hotel structure/layout and how all departments interact. Basic knowledge of various types of set up styles used in the meeting rooms. Quantitative processing of data via office machine equipment, mathematical computations, and analytical skills necessary to accurately determine and communicate financial, forecasting and space utilization calculations. Ability to complete a contract in compliance with all checklists, standards, and hotel policies. Skill in organizing resources and establishing priorities. Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks and projects Information research, analysis, and evaluation skills. Advanced verbal and written communication skills and the ability to work with a wide range of constituencies in a diverse operation. Education/Experience Requirements Bachelor’s degree preferred. A minimum of 2 years of sales experience in a 4/5-star resort preferred. Delphi and Salesforce knowledge required. Proficiency in the use of Word, Excel, Outlook, and PowerPoint. Physical Requirements Most work tasks are performed indoors. Position requires walking and giving direction most of the working day. Must be able to exert well-paced ability to maneuver between functions occurring simultaneously.
