Position Summary:
A Sales Coordinator supports the sales team by receiving and distributing sales leads according to deployment from various lead sources and ensuring that Sales Managers respond in a timely manner. Perform clerical duties such as data entry, typing correspondence and reports, filing and answering phones. Assist manager in with sales leads and disseminating hotel information by sending sales kits and brochures.

Develop a general understanding of the business in order to provide administrative assistance and support. Demonstrates excellent interpersonal communication skills and confidentiality in handling of incoming telephone calls and correspondence. Demonstrates strong organizational skills in a fast paced work environment. Help prepare all sales reporting for weekly, monthly and year to date sales. Arranges and schedules, appointments, meetings and events. Be the “servicing” side of the sales department for the Hotel. Provides VIP services and acts as a hotel liaison to in-house groups. Supports the Director of Sales, Sales Managers and other department staff with a variety of administrative and support tasks. Creates and manages group room blocks, ensuring billing is accurately configured in alignment with the terms outlined in each group’s contract. Oversee all aspects of group room block coordination, including reservation management across key systems such as CI/TY, Passkey, LightSpeed, and MARSHA, ensuring accuracy and efficiency throughout the booking process. Serves as a direct point of contact for group clients, verifying that booking links function properly and providing timely, hands-on support for any reservation issues or concerns.
Qualifications:
Education:
College degree preferred but not required; or High school diploma or GED plus 2 year’s administrative office or equivalent combination of education and experience that provides the above skills, knowledge and ability.
Experience:
Minimum of 2 year’s office experience. Must have excellent customer service/communication skills to work with fellow team members and vendors. Hotel experience preferred but not required Ability to work independently. Strong organizational skills with strong attention to detail. Ability to communicate effectively with the public and fellow team members. Read, write and speak English fluently. Strong writing, editing, business letter format skills. Office administration skills including phones, copiers, fax, personal computer and calculator. Proficient computer skills in Microsoft Office Word, Outlook and Excel applications.
