We are small but mighty. Our goal is to help clients achieve their long-term retirement planning objectives. We believe every client should have someone with honesty, integrity and a commitment to help make their retirement planning simpler and less complicated. We are seeking an Events and Scheduling Coordinator to replace a fantastic employee who is relocating. This position is responsible for scheduling and attending multiple sales seminars monthly and maintaining client contacts, information, and relationships. This position promotes the corporate image by representing the firm internally and externally and it is intended to be fully cross-trained and provide support for all departments. This position is ideal for someone who likes people, thrives in a sales-oriented environment, and is driven and determined to succeed. Primary Duties
- Plan and implement multiple sales seminars and client events each month, typically in the evening at a dinner with various restaurants. This includes, but is not limited to venue research, procurement, budgetary management, mail fulfillment, overseeing RSVP’s and tracking attendance, communications with guests both pre and post event, preparing materials, set up and take down at events.
- Manage the scheduling and prep work for all one-on-one client meetings with senior management. This includes scheduling meetings within set guidelines, with a special focus on annuity sales appointments to ensure that only high quality and well-prepared sales opportunities are scheduled.
- Maintain and manage follow up for current and future sales opportunities via appointments, referrals, and “chasers”.
- Build relationships quickly as the first face and voice of Gateway Financial. Providing customer service by addressing client needs, whether in person or by phone.
- Enhance the firm’s reputation through professionalism and courtesy to both partners and clients through interactions online, by phone, or during face-to-face meetings, and in all written communications.
- Assist with the design of digital and printed presentations, producing and distributing. This includes but is not limited to, preparing RFP responses, formal proposals of products and services, renewal analysis, annual review packets, enrollment kits, training manuals, and corporate newsletters.
- Maintain good organization of client records. Prompt fulfillment of CRM updates (Redtail) for account data, sales follow up and action items, and reporting. This also includes accurate and timely management of Appointment Stats reports, Seminar Activity reports, and any other metrics/analytics necessary to help drive success for our firm.
- Help to complete projects and special assignments by establishing objectives; determining priorities, managing time; gaining cooperation of others; monitoring progress; and problem- solving.
- Performing any other tasks as required for the successful operation of the firm. Requirements
- At least two years of experience as an events coordinator, administrative assistant in a financial setting such as a bank, investment, or insurance company, or other similar coordinator or sales support position.
- Demonstrated knowledge with CRM software (Redtail would be a plus!) or any other client tracking software, Microsoft 365, and OneDrive.
- Proficiency in Word, PowerPoint, Excel, and Microsoft Suite.
- Excellent planning and organizational skills, friendly and personable telephone manner, detail-oriented, and prompt and accurate responsiveness.
- Ability and willingness to attend all evening seminars.
