This role involves maintaining accurate financial records inQuickBooks, managing billing and invoicing (including AIAcontracts), and supporting the sales team with proposal preparationand database maintenance. The ideal candidate is detail-oriented,proficient in Microsoft Office, and experienced in QuickBooks, withstrong organizational and communication skills. Utilizing advanced CAD systems and the onlycontinuous laminating machine of its kind in the Northeast, theyproduce energy-efficient, high-performance panels tailored to eachproject’s specifications. Description 1. Financial Accounting Maintain accurate financialrecords in QuickBooks, including data entry, accountreconciliation, and financial reporting. Support the preparation offinancial statements and internal reports for management review. 2.Sales Support Partner with the sales team to draft and formatclient proposals. Record and track proposals within the company’squoting system. Assist in building and maintaining sales andcustomer databases using Microsoft Access. 3. Billing & InvoicingOversee the billing process to ensure timely and accurate invoicingto clients. Address and resolve billing inquiries and discrepanciesin a professional and timely manner. Manage billing procedures forAIA forms and contract-based invoicing. 4. Administrative SupportServe as the first point of contact by answering and directingincoming calls. Perform general administrative duties such asfiling, data entry, and managing company documents. 5. FinancialDocumentation & Compliance Maintain well-organized records of allfinancial transactions for audit and compliance purposes. ProfileHigh School Diploma required; additional coursework in accountingor business is a plus. Experience with QuickBooks and MicrosoftAccess is preferred. Strong attention to detail and accuracy inhandling financial data. Proficient in Microsoft Office Suite,including Word, Excel, and Outlook. Excellent written and verbalcommunication skills. Well-organized with strong time managementabilities. Able to work both independently and collaborativelywithin a team environment. Familiarity with AIA contract billing isa plus. Previous experience in a similar administrative oraccounting support role is preferred.
