Brief Description:

The Sales & Operations Support Specialist will provide on-site support for specific PMG communities. The “SOSS” will assist site level staff in developing and implementing sales & operational strategies. Additionally, support and instruction of site level staff in PMG’s Policies and Procedures will be required, including on-boarding of new staff members. The “SOSS” will also assist corporate personnel by providing support or feedback for various projects. This position will also often serve as a troubleshooter and/or fill-in for management at existing operating properties or as interim management.

OPERATIONS

Remain abreast of all new systems and keep up to date on policies and procedures. Work with Operations to continuously audit and improve systems, policies and procedures. Completion of internal audits throughout the calendar year. Assist corporate departments with special projects as needed. Participate in property inspections, quarterly inspections, move-out process, unit assignment, roommate matching, and the move-in process during the “turn” season Responsible for helping property achieve budgeted revenues, expenses, and NOI Serve as a Community Director, Assistant Community Director, or Senior Leadership role if the property is in need. Monitor and follow up on bad debt to include preparation of late notices, resident and guarantor contact, and filing for evictions. Assist in preparation of weekly and monthly reporting requirements, including Month-End Oversee the overall upkeep of the property, including implementing the Facilities Plan and working with maintenance to ensure timely completion of work orders.

SALES & LEASING

Assist with the leasing responsibilities to maximize pre-leasing and occupancy. Participate in the planning and implementation of marketing plan. Audit lease files and maintain appropriate completed files percentage. Oversee that the property complies with PMG’s resident life programming. Ensure property meet daily, weekly, monthly leasing goals and benchmarks. Create and assign training coursework as directed by the People & Culture Department. Assist in the training of site personnel, Maintain excellent customer service relationships and assist department as needed with complaint, resolution

PHYSICAL DEMANDS AND WORK ENVIRONMENT

FINANCIAL

Manage the financial performance of the property in accordance with the budget at the direction of accounting office. Assist in the development of the budget, marketing strategy and business plan for property in accordance with corporate team. Aid in ensuring all team members are properly placed on payroll and all paperwork is turned in according to company standards. Assist in ensuring that property invoices, petty cash reconciliations are submitted weekly in property software system and ensure timely payment of invoices. Ensuring that rent is collected in a timely manner from all residents or communicate with them to achieve a stable payment to pay bills promptly, keeping adequate records for accounting.

DEVELOPMENT

Ensure product and customer experience standards are consistent with overall brand strategy objectives, implementing local adjustments as appropriate and as supported by local insights and research, under the direction of the Regional Sales Director. Focus on opportunities to improve the perception of onsite service throughout the resident lifecycle. Assist with the achievement of leasing goals at properties. Support the Regional Leasing Manager in creating and implementing new leasing strategies. Oversight of tour and leasing activities on properties in struggling markets or that may otherwise be considered in need of leasing assistance. Attend and participate in property leasing and marketing calls as needed. Evaluate and provide feedback for Leasing Managers and property leasing staff within designated area. Implement marketing activities at properties in struggling markets or that may otherwise be considered in need of marketing assistance. Work with Regional Leasing Manager and onsite leasing teams to attend, plan and execute marketing strategies at housing fairs, open houses, orientation and other property, university or local marketing events. Assist in the implementation of onsite and regional marketing strategies. Execute marketing strategy created my Regional Leasing Manager and advise on additional marketing opportunities that may be available within the designated region. Train on-site staff on leasing and marketing systems and techniques. Work with training and leadership teams to develop and conduct site-level leasing training as needed. Attends and participates in training programs and events which may require air travel. Coach and develop team members; Conduct bi-weekly one-on-ones with onsite Leasing Managers; Routinely conduct property visits. Collaboratively work with regional professionals and on-site staff to increase occupancy and revenue through effective development of sales trainings, tools, and processes. Conducting SWOT and competitor profile analysis as needed. Provide support of market survey completion, accuracy, and training. Drive alignment and synergy across designated area. Assist with regional marketing operations to ensure the effective integration of area marketing strategies at the property level. Plan, organize, and lead property leasing functions within established budgetary and staffing plans; establish goals, performance standards, and operating procedures for site level functions. Influence and support the development or revision of onsite marketing strategies. Assist with area social media platforms and performance. Have the knowledge and ability to train associates on area programs, leasing, marketing, and customer service. Communicate regularly with regional managers on performance and recommendations. Routinely attend and contribute to local industry associations. Maintain a significant understanding of industry topics, issues, or news involving markets. Regular travel required.

Must be willing to work flexible hours/days/weekends when needed. Proven track record of achieving leasing goals and demonstrating results from previous positions. Proven track record in establishing and maintaining strong relationships with management team.
