950 NW 72nd St, Suite 101, Miami, FL 33150 Full-Time Reports to: Director of Architectural Lighting We are seeking a motivated and detail-oriented Architectural Lighting Support Representative who will be responsible for the detailed documentation, coordination, and administrative support that enables the lighting department to operate efficiently. This role supports both internal and external project functions, assisting with business planning, sales documentation, project tracking, and the development of departmental standards. The Architectural Lighting Support Representative ensures accuracy and completeness of lighting project records, client documents, and fixture specifications from project intake to closeout. Key Duties & Responsibilities Departmental & Business Support Participate in general business planning and documentation for new product stocking and budgeting. Contribute to department staff training initiatives and OSHA compliance documentation. Create and maintain SOPs, including checklists, templates, and master resources (Light Fixture Look Book, Schedule, and Spec Book). Sales Documentation & Support Document sales lead generation, qualification, and customer interaction efforts. Assist in preparing lighting budgets, customer proposals, intake forms, and vendor sample requests. Support the initiation of customer proposals and maintain organized sales records in tracking systems. Project Coordination & Documentation Create lighting fixture sales orders and initiate billing procedures. Maintain accurate documentation for project kickoff meetings and ongoing project milestones. Support site-specific documentation such as employee access, certificates of insurance (COI), and permit applications. Document all stages of project delivery including NTOs, change orders, RMAs, progress billing, punch lists, and closeout materials. Respond to inquiries regarding product availability, lead times, pricing, and order status. Support final phases such as equipment aiming documentation, photoshoot coordination, and handover. Administrative & Tracking Functions Update department sales pipeline and project tracking schedules. Participate in weekly department staff meetings. Key Requirements and Skills Associate’s or Bachelor’s degree in Business, Design, or a related field (or equivalent experience). 1-2 years of experience in administrative, design, or sales support roles (lighting or construction industry preferred). Strong organizational skills with attention to detail and process accuracy. Proficient in tools such as CRM systems, and Google Workspace (Docs, Sheets, Slides, Gmail, Google Drive)., Canva, Goodnotes, and project tracking systems. Strong written communication and time management skills. Ability to follow detailed workflows and maintain documentation standards across multiple projects. Physical Requirements While performing the duties of this role, the team member is occasionally required to stand, walk, talk and hear- possibly for prolonged periods at a time. The team member is occasionally required to handle or feel and reach with hands and arms. The team member is occasionally required to climb or balance; and occasionally to stoop, kneel, crouch, or crawl. The team member may be required to lift and/or move up to 30 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
