Posted Job Title Graduate Fellowships Coordinator Job Profile Title Coordinator C Job Description Summary The Graduate Fellowships Coordinator provides strategic and operational leadership for the Thouron Award Program and broader graduate fellowships initiatives. This exempt-level role requires independent judgment, discretion, and advanced coordination skills to manage complex programmatic functions, including scholar selection, alumni engagement, communications, and cross-institutional collaboration. The Coordinator serves as a key liaison to internal and external stakeholders and plays a critical role in shaping the visibility, impact, and operational excellence of graduate fellowships and related programming at Penn and for the Thouron Award Program. Job Description Job Responsibilities Independently manage all administrative aspects of the Thouron Award Program, including oversight of selection processes, coordination with academic departments, and execution of program operations in both the U.S. and U.K. Exercise discretion in managing sensitive applicant and scholar information. Design and implement engagement strategies for current scholars and alumni. Lead planning and execution of events and communications that support long-term program visibility and community-building. Provide guidance to fellowship applicants and coordinate selection processes across multiple programs. Interpret eligibility criteria and advise on application strategy. Collaborate with faculty and selection committees. Lead development and execution of communications strategy, including digital content, social media, and promotional materials. Ensure consistent messaging aligned with program goals. Monitor program budgets, process reimbursements, and prepare financial reports. Ensure compliance with University financial policies and donor restrictions. Support special projects and emerging needs related to graduate fellowships and academic programming. Qualifications Bachelor’s degree and 3 to 5 years of experience or equivalent combination of education and experience is required. Master’s preferred. Demonstrated ability to manage complex processes independently and ensure accuracy across multiple program areas. Experience providing advising or guidance to students or applicants in a professional or academic setting. Strong organizational and project management skills, with the ability to prioritize competing demands and meet deadlines. Excellent written and verbal communication skills, including the ability to work diplomatically with high-level stakeholders (faculty, selection committees, external partners). Proven ability to handle confidential and sensitive information with discretion. Experience with budget monitoring and financial reporting, including processing reimbursements and ensuring policy compliance. Proficiency with standard office software (e.g., Microsoft Office Suite) and the ability to learn institutional systems (e.g., financial systems, applicant portals).
