Job Description Purpose of Classification:
The purpose of this classification is to coordinate the filing management system that monitors, tracks, and controls all official documents, drawings, specifications, and other information pursuant to procedures, practices, and regulatory compliance requirements of the County or other agencies.
Essential Functions:
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned. Maintains all electronic and hardcopy documents, reports, data files, drawings, records, change notices, specifications, manuals, and other information for the department. Establishes, coordinates, reviews, modifies, and implements appropriate document control procedures and processes. Scans, indexes, uploads, and archives documents and reviews documents for accuracy and completeness. Coordinates circulation of documents for management approval. Maintains revision and approval status of all documents and tracks change requests and revision history. Receives and logs requests for information/data and routes to appropriate individual for review. Keeps abreast of regulatory/ compliance requirements and maintains files and records of documents submitted to regulatory agencies (EPA and EPD) and other entities. Maintains water, wastewater and stormwater information and data consistent with federal and State document retention laws and regulations. Maintains department’s document files and library, logs documents checked out from the library and ensures documents are returned according to established procedure. Performs quarterly audit/review of the effectiveness of document capture/filing system and revises procedures accordingly. Manages department’s paper reduction efforts. Performs research and retrieves documents requested by other employees and entities. Audits department’s divisions to ascertain proper practices are being observed with regard to records/document control and maintenance.
Minimum Qualifications:
Associate degree in Library Science, Paralegal Studies, Business Administration or directly related field; five years of responsible document/records management or office management experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Specific License or Certification Required:
May require possession and maintenance of valid State of Georgia Notary Public certification.

Physical Ability:
Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Some tasks require the ability to communicate orally.
Environmental Factors:
Essential functions are regularly performed without exposure to adverse environmental conditions.
