The Development & Database Coordinator is responsible for the day-to-day administration and oversight of HEF’s donor database (Raiser’s Edge). This role plays a critical part in maintaining and preserving the integrity of donor data, supporting fundraising efforts, and ensuring accurate and timely gift processing and acknowledgments. The Development & Database Coordinator will also provide modest administrative support to the Development Department, particularly around fundraising campaigns and events, and will work closely with the Finance Department to ensure accuracy of gift entry and reporting. With expertise in data management, meticulous attention to detail, and a sharp focus on fundraising best practices, this person will be an integral part of the Development Team’s efforts to steward and cultivate HEF supporters. This is a full-time, non-exempt position.
Responsibilities:
Manages HEF’s donor database ensuring that all information is entered correctly and consistently in Raiser’s Edge.
Specific duties include:
Create and update constituent records Record gifts and pledges accurately Generate donor acknowledgement letters and gift receipts for cash and in-kind contributions within an appropriate timeframe Create queries, exports and customized reports as requested for Development Team analysis Act as the primary lead for donor database training and knowledge; stay up-to-date on new/improved Raiser’s Edge functions, ensuring that HEF maintains best practice standards and maximizes the functionality of the database. Supports the Development Team with administrative tasks in preparation for board and committee meetings, events and drives, as well as other initiatives. Collaborate with the Finance Department to reconcile gifts and ensure financial accuracy. Work all HEF fundraising events. Other duties as assigned.
Skills/Attributes:
Exceptional attention to detail and strong organizational skills. Ability to work independently, managing multiple tasks and deadlines efficiently. Strong written and verbal communication skills. A collaborative team player with a commitment to data excellence and fundraising best practices. Previous experience in nonprofit development or fundraising is a plus.
Experience:
Minimum of one year of experience using a donor database/CRM required; experience with Raiser’s Edge strongly preferred. An Associate’s degree is required, but a Bachelor’s degree is preferred; equivalent work experience will be considered and may substitute for a degree. Proficient in Microsoft Office products (including Excel, Outlook and Word) or similar required Nonprofit experience preferred Must be able to pass a background check
Travel Demands:
Must have reliable transportation Ability to attend events which may occur in the early mornings, evenings or on weekends
Physical Demands:
Moderate physical activity involved in an office setting. Must be able to sit and/or stand for extended periods of time. Lifting requirements up to 30 pounds.
