POSITION OVERVIEW

The Development Database Administrator performs the critical role of maintaining, managing, and preserving the integrity of the Boca Grande Health Clinic Foundation’s donor database. Reporting to the Executive Director, this role supports the operational requirements of database administration, including all data entries; posting gifts, receipts, and acknowledgements; proper financial reconciliations; building queries; and, running both standard and custom reports to track gift metrics. This position also provides general network/IT support including optimizing the Foundation’s operations, providing technical setups and logistics for meetings and various fundraising events, as well as website support for managing online giving forms and communications.

PRIMARY RESPONSIBLITIES

Database Management, Gift Processing, and Reporting Maintain donor database and understand the nuances of old and inconsistent data, ensuring accuracy and integrity, as well as troubleshooting/resolving database issues. Provide database security and backup, documenting database configurations, updates, and maintenance activities. Setup gifts, constituent queries, and reports for weekly, monthly, annual, reconciliations and specialized requests. Ensure all gifts are processed, coded, and entered in the database, and acknowledgment letters are sent in a timely manner. Develop and deliver a system for revenue tracking, reporting, and forecasting which supports informed strategic decision making and provides the necessary financial reports and projections for the Executive Director, Board Chair, and committee chairs. Develop Excel spreadsheets for specialized requests. Serves as internal control between the Executive Director and accounting, ensuring proper coding, accurate delivery of information, and weekly/monthly/annual reconciliation. Develop and track annual operating budget, with the guidance of the Executive Director, and provide full support in gathering relevant reports and information during annual audits. Provides suggestions on all aspects of the database – structure, best practices, reporting, research, and development of database conversions as needed. IT/Network and Communications Support Provide general network / IT support, including but not limited to technical setups and support for meetings and events, along with maintain the office equipment, including workstations, phone, copier, printers, fax machine, etc. Cultivate relationships with existing donors and prospects through personalized communication, maintaining confidentiality along with a high awareness of individual donors’ preferences and expectations. Create online forms and update the Foundation’s website. Maintain marketing and communication material, including supporting the production of the newsletter, and any other print and online communications. Assist Executive Director in grant writing and prospect research. Participate as needed in special organization projects and events and at the direction of the Executive Director and/or the Board Chair.

QUALIFICATIONS

Bachelor’s degree and/or equivalent experience Passion for the Boca Grande community and the Health Clinic Foundation’s mission 2-3 years of donor relations and database administration experience Proficient with all aspects of data entry in PC and MAC operating systems, and well-versed in using the Microsoft Office Suite, Google Docs, Adobe, Zoom, and other applications. Knowledge of data protection regulations and best practices Ability to quickly understand technical systems and databases and utilize same with strong problem-solving skills and commitment to data accuracy. Strong professional written and verbal communication skills Time management and collaboration skills Personal effectiveness, credibility, and ethical handling of sensitive information. Stress management and composure Dependable, intrinsically motivated to learn, grow, and take initiative. Flexibility; Available to work weekends and evenings in support of fundraising events.
