This role ensures that data systems and development operations drive long-term fundraising growth, optimize donor engagement, and support high-level decision-making through robust analytics. Reporting to the Development Officer, this position plays a critical role in enhancing the donor experience, ensuring operational excellence, and aligning data-driven insights with organizational fundraising strategy. This individual will also serve as a cross-functional liaison for philanthropic outreach efforts, support the Development team’s fundraising goals, and coordinate with community partners on engagement initiatives. The ideal candidate is a highly organized, self-motivated professional who combines technical database acumen with an understanding of relationship management and donor stewardship. A proactive communicator, this individual champions a culture of gratitude and precision, bringing both a strategic and service-oriented approach to development operations. This position may require occasional evening or weekend hours to support fundraising and outreach events, as well as periodic local travel.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Donor Database Management Actively manage and improve the quality of the Zoo’s donor database to sustainably mature the Development department’s revenue tactics and targets.

  • Serve as the lead administrator for the donor database, ensuring accurate and comprehensive constituent and gift records.
  • Evaluate and implement CRM best practices to support cultivation, solicitation, and stewardship.
  • Develop and distribute custom reports, dashboards, and analytics to inform fundraising performance and donor trends for executive leadership.
  • Continuously audit and enhance data management workflows to maximize departmental efficiency and insight. Gift Processing and Stewardship Operations Ensure the integrity of donation processing procedures, pledge recovery, and assigned stewardship efforts.
  • Oversee all aspects of gift entry and acknowledgment, ensuring timely and accurate receipting.
  • Manage tax-compliant donation acknowledgments and coordinate personalized stewardship communications.
  • Maintain and refine systems for tracking pledges, payments, invoices, and reporting deadlines. Prospect Research and Donor Analysis Drive strategic fundraising and deepen donor relationships by identifying, researching and analyzing donor prospects within the CRM.
  • Lead proactive prospect identification using CRM tools, wealth screening, and public data to grow the donor pipeline.
  • Analyze donor giving patterns to inform segmentation and engagement strategies. Strategic Community Engagement & Outreach Actively engage with communities served by the Central Florida Zoo & Botanical Gardens (CFZ&BG) to sustainably enhance the Development department’s outreach and philanthropic partnerships.
  • Maintain invitation lists and responses for special events managed by the Development team.
  • Manage all incoming donation requests, responding on a timely basis and gathering donation items.
  • Remain proficient in CFZ&BG’s ticketing platform to distribute gifts and experiences.
QUALIFICATIONS

Proficient in basic computer applications, such as Microsoft Suite with intermediate or advanced knowledge of Microsoft Excel. Previous experience with a high level of expertise with data management or database maintenance. Maintains the confidentiality of sensitive information. Strong attention to detail and an understanding of the impact of the work Enjoy analyzing situations and finding creative solutions. A proactive self-starter who is not afraid to ask questions and look for efficiencies. Possesses a bachelor’s degree or equivalent experience in a related field.
