Reporting to the Executive Director, Advancement, the Database & Advancement Coordinator plays a central role in ensuring the operational excellence of the Advancement Department. This position is responsible for maintaining the integrity of the donor database, processing all philanthropic contributions, and generating reports that guide strategic decisions across the Advancement team. The Coordinator supports all aspects of donor stewardship, reporting, and campaign execution—helping to ensure the department’s long-term financial growth and efficiency. Additionally, this individual assists in fulfilling day-to-day requests from across Advancement programs, including corporate partnerships, annual fund initiatives, and special events. This is a detail-oriented, high-impact role that underpins the university’s successful fundraising operations. Job responsibilities includes but are not limited to:
Donor Database and Records Management
Gift Processing and Acknowledgments
Campaign Support and Reporting
Stewardship and Donor Engagement
Cross-Functional Collaboration
Operational Support
Strategic Role in Advancement Growth
Bachelor’s Degree required in a related field, Master’s Degree preferred. A minimum of 5 years Institutional Advancement Experience; preferably in higher education or other non-profit setting. Ability to travel and work a flexible schedule, including nights and/or evenings for special events. Must be able to push, lift, pull up to 50lbs. Proficiency in using fundraising software, Google Suite and Microsoft Office Suite applications (Word, Excel and PowerPoint) is preferred. The successful candidate will be a team player with excellent written and oral communication skills who is able to effectively build and maintain relationships across all levels of the organization.
