Full Job Description Position Summary:
The Data Coordinator is responsible for managing, maintaining, and analyzing data related to the organization’s programs, donors, volunteers, and other stakeholders. This role supports data-driven decision-making by ensuring accurate, timely, and organized data collection and reporting processes. The Data Coordinator will work closely with various departments to improve data management practices, streamline data entry, and support the monitoring and evaluation of the nonprofit’s impact. This position directly reports to the Chief Operations Officer, and works in support of the development and programmatic leadership team.
Responsibilities:
Serve as a supportive member of the OCA team in a variety of capacities. This individual will support programs by collecting and representing demographic data on a quarterly basis. Further, this job will collect, summarize, and maintain appropriate records for development funders, including grants, foundations, and private donors. Data sets will be used to produce meaningful oversight and guide decision making. Programmatic Support
- Ensure the accuracy, completeness, and integrity of data entered into databases and systems.
- Regularly audit and clean data to remove duplicates, correct errors, and ensure data consistency.
- Work closely with team members to ensure that data is properly categorized and stored according to organizational standards.
- Create reports and presentations based on data as needed.
- House analytical data for each program, including demographics and diagnosis of the individuals that we serve.
- Review data for specified projects and report on progress towards goals.
- Collaborate with external vendors or contractors to ensure all compliance documentation requirements are met. Communication & Documentation
- Ensure documentation requirements are met for clients and funders supported by development initiatives.
- Generate regular reports from data systems, providing insights and updates to program staff, leadership, and external stakeholders.
- Provide monthly reports to ChIef Operations Officer and funders.
- Provide reports to stakeholders as requested or when required by funders.
- Ensure that data security protocols are followed to protect sensitive information, and monitor data access and usage regularly. Teamwork
- Work as a supportive member of the leadership and development teams.
- Serve as backup support for collection, entry, and management of data across all development systems (e.g., CRM, donor management platforms, etc.)
- Support data analysis and produce dashboards, visualizations, and other tools to help the team assess the impact of the nonprofit’s work.
- Serve as a support across all OCA departments as needed. Customer Service
- Provides excellent customer service to all customers in all situations (face to face, written communication and telecommunication).

QUALIFICATIONS
Education:
Rate of pay is dependent on education and experience. A minimum of an Associates Degree is required, preferably a Bachelor’s Degree. Applicable degrees include Data Management, Information Systems, and Nonprofit Management.
Experience:
Rate of pay is dependent on education and experience. A minimum of 2-4 years of experience in data management, analysis, or administration, preferably in the nonprofit sector is needed. Experience with donor management, program tracking, or volunteer management systems (e.g., Salesforce, Raiser’s Edge, Bloomerang, or similar) is preferred. OCA will consider each person on a case-by-case basis.
Physical:
Staff Members must be able to manage an active daily schedule without fatigue. The individual must be able to complete Professional Crisis Management Practitioner Level 1 or higher. Individuals must be able to lift 20lbs daily and transition materials from point A to point B.
Training/Certificates:
Staff members must receive and maintain multiple trainings while working at OCA. This includes CPR/First Aid credential within the first 90-days of employment. Additional mandatory training includes but is not limited to; Zero Tolerance, Direct Care Core Competencies, Cultural Diversity and HIPAA Compliance Training.
Basic Customer Service:
Staff members will interact with various stakeholders on campus and in the community including other staff members, community members, board members, donors, and family members. All staff members are required to always present themselves and the organization in a positive manner.
Basic Office Skills:
Staff members in this role must be able to use a computer, utilizing Microsoft Word, Excel, Google Drive, Power Point, Adobe Acrobat, and Publisher.
