JOB OVERVIEW

Under the supervision of the Manager of Pricing & Records, the Records Coordinator manages sizable, complex, or non-routine public records requests from within and outside the GPA. Also performs a variety of administrative and clerical duties for the GPA. Upholds the values of the GPA to promote Safety, Integrity, Respect, Community, Creativity and Opportunity. Promotes a safe work environment by participating in safety initiatives and reporting unsafe conditions and behaviors.

JOB DUTIES

Documents and tracks all dates relevant to public records requests and corresponds with parties requesting public records. Prepares written cost estimates in connection with public records requests and collaborates with agency personnel to ascertain the volume and nature of responsive records. Identifies confidential, exempt, and sensitive information in responsive records. Performs and coordinates redaction of confidential, exempt, and sensitive information. Utilizes GPA software to identify and organize public records and provide guidance to the Assistant Manager of Records. Collaborates with GPA counsel and reviews policies, procedures, and manuals to ensure continuing compliance with public records law and updates list of exemptions to public records, per Georgia law. Ability to review documents for accuracy, completeness, and compliance; compile data and information for reports; compose letters and memoranda; explain policies and procedures. Work with and meet required deadlines utilizing time management. In collaboration with GPA legal counsel, gather and analyze research data such as statutes, decisions, legal articles, codes, and documents. Efficiently organize, prioritize, schedule, and manage daily work activities, tasks, and assignments. Perform clerical duties such as, but not limited to filing, scanning, answering the phone, and compiling correspondence. Skill in the use of office equipment including computers and various software applications. Performs other related duties as assigned such as coordinating GPA’s Third-Party Vendor Program, Record Retention program, and drafting Rate Quotes.

JOB REQUIREMENTS

Knowledge, Skills, & Abilities Excellent oral, written, and presentation skills are essential as the ability to work in a collaborative and team environment.

Knowledge of general office procedures and operation of office equipment required.

Ability to deal effectively and professionally with the GPA staff on all levels as well as customers, attorneys, and the general public required. Experience 1-3 years work experience in public records, records management, records compliance or legal environment Preferred Education Required High School Diploma or equivalent Preferred Four-year college degree Licenses & Certifications TWIC – Transportation Worker Identification Credential Required Driver’s License – Valid state driver’s license
