Permanent, 12 month position
Nature of Work
Performs intermediate technical work maintaining an information resource, ensuring data consistency and integrity, collecting and reporting related information, working with users to design and create requested or required reports or databases, participating in testing and implementation,m and related work as apparent or assigned. Work is performed under the general direction of the Executive Director of Technology and Innovation.
Qualifications and Licensure
High school diploma or equivalent, required
Associate’s Degree, preferred
Experience using PowerSchool, preferred
Previous office experience in the educational setting, preferred
Participation in initial and ongoing training, required
Duties and Responsibilities
Performs a variety of technical-clerical work preparing and maintaining a variety of computer databases pertaining to student attendance and demographic statistics in an assigned school.
Utilizes specialized computer-driven file maintenance, word processing and spreadsheet programs which are part of the student information system to develop and maintain records of student attendance, class schedules, grades, demographic statistics, immunizations, etc., and to generate federal, state and local reports.
Reviews forms and handwritten information, and enters data into proper computer files, often utilizing specialized codes and abbreviations; utilizing scanner devices to input data; updates files on a daily basis; prints out reports; and prepares back-up copies of records on google drive.
Responsible for troubleshooting errors or other operational problems with computers and peripheral equipment, installing computer program software, and preparing various correspondence and forms.
Answers phone calls in a pleasant, informed manner for the purpose of providing information and creating a good image of the school system; take and relay messages.
Greets visitors to the main office in a pleasant and informed manner; answer routine questions and respond to requests for materials according to established guidelines.
Responds to inquiries from staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required.
Forwards requests for the information to the appropriate individuals.
Maintains office equipment and assists individuals with office equipment usage as required.
Assists with the mailing and distribution of various documents and communication from the fax machine.
Receives, signs for, and sends special mail via messenger services.
Oversees scheduling in PowerSchool.
Perform any other duties as assigned by the supervisor.
Physical Requirements (if applicable)
This work requires the occasional exertion of up to 10 pounds of force. Work frequently requires standing, walking and sitting and occasionally requires using hands to finger, handle or feel, stooping, kneeling, crouching or crawling, reaching with hands and arms, lifting and repetitive motions. Work has standard vision requirements. Vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly. Hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound. Work requires preparing and analyzing written or computer data.
Special Requirements (if applicable)
General knowledge of computers, computer commands, peripherals, and various operating systems, and general office machines. Knowledge of the attendance regulations in the Student Attendance and School Accounting Manual. Considerable knowledge of data management, policies and procedures. Thorough knowledge of district policies, processes and procedures. Thorough knowledge of specific software types and reports used in a school system.
Ability to generate typical business correspondence exhibiting strong skills in vocabulary, grammar, and spelling. Ability to follow oral and written instructions with little direct supervision; to sort and place items in proper sequence; to compare and compile written information carefully and accurately. Ability to learn specialized software or equipment based on district need. Ability to communicate effectively orally and in writing. Ability to develop and maintain user manuals related to software systems supported. Ability to generate applicable reports; ability to establish and maintain effective working relationships with staff, students, vendors and the general public.
