Position Summary Information Position Summary The Philanthropy Specialist works under the direct supervision of the Senior Director of Donor Relations and Scholarships and perform support duties for the Alumni, Engagement and Philanthropy division. Austin Peay State University is a four-year public, doctoral-level university, with six colleges and four Chairs of Excellence. The University has an enrollment of over 10,000 students and is located in Clarksville, Tennessee, a community of an estimated 180,000 people located approximately 40 miles northwest of Nashville, TN. This is a part-time position, 25 hours per week. Primary Duties and Responsibilities Assist in the daily processing of donations to the University and Foundation with gift entry onto the mail log, research fund information for donations and tracking source documents.
Reconcile the Foundation Sponsorship entries against the deposits in Banner Finance System
Assist with creating, researching, updating, and maintaining donor records in Raiser’s Edge.
Assist with audits and compliance requirements.
Assist answering main telephone line and greeting guests of Alumni, Engagement and Philanthropy division.
Assist as point of contact for external and internal questions regarding contributions, tax receipts and acknowledgement letters.
Send interoffice correspondence, emails, schedule meetings, prepare agendas, and take and distribute minutes for various meetings.
Provide account balances and fund numbers to departments as needed.
Assist staff with administrative support as needed.
Assist with filing for hard copy documents, donor records and scholarship files.
Assist with supervision of student workers and coordinating with financial aid regarding hours worked.
Assist with inventory, maintenance and ordering of all office supplies and some logo items. Knowledge, Skills, and Abilities Ability to efficiently operate a computer, associated software (Outlook, Word, Excel, etc.) and Blackbaud’s Raiser’s Edge NXT.
Ability to communicate effectively and appropriately.
Ability to maintain confidentiality of records and information.
Ability to interact in an effective and appropriate manner with diverse populations, the University community and the public.
Ability to maintain files accurately, in paper and in software programs.
Ability to handle multiple tasks simultaneously.
Ability to accurately prepare records and reports.
Ability to establish and maintain an organized filing system.
Physical Requirements Sedentary Work:
Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Required Minimum Qualifications High school graduate or equivalent.
Minimum of one (1) year of office experience.
High level of computer literacy.
A background and credit history check will be required of the successful applicant.
