Job Summary:

The IT/Facilities Supervisor is responsible for overseeing the day-to-day management of IT systems, infrastructure, and facilities operations in a Clinical Research Institute. This includes ensuring seamless integration of IT services, hardware, software, and network infrastructure, as well as the efficient operation of physical systems (HVAC, plumbing, lighting, etc.) within the facility. The IT/Facilities Supervisor will provide hands-on support for IT systems and lead maintenance and repairs of facility equipment, ensuring that all operations comply with relevant regulatory standards. This role is critical to maintaining a smooth and efficient environment conducive to clinical research and will involve both direct support and strategic project management.

Key Responsibilities:
IT Support and Management :

Oversee the setup, maintenance, and troubleshooting of IT systems, including network infrastructure, servers, and user support. Manage IT support for clinical research projects, ensuring the integrity and availability of critical systems such as Electronic Medical Records (EMR), clinical trial management software, and lab data systems. Provide technical support across the company, including troubleshooting software, hardware, and network issues, either in-person or remotely. Manage the configuration of user accounts and permissions for network, email, and phone services, ensuring secure access to systems. Respond in a timely manner to service issues, ensuring minimal disruption to research operations. Ensure systems are compliant with regulatory standards such as HIPAA, FDA, and GCP (Good Clinical Practice). Maintain records of system issues, repairs, and scheduled maintenance, ensuring transparency and accountability. Assist with IT project management, including upgrades, system migrations, and the integration of new technologies to enhance operational efficiency. Maintain and monitor the performance of the site’s CCTV/camera systems, ensuring the integrity of security systems. Available outside regular working hours for urgent technical assistance, particularly at inpatient sites.

Facilities Operations and Maintenance:

Lead day-to-day facility operations, ensuring that building systems (HVAC, plumbing, lighting, etc.) meet operational needs and regulatory compliance. Perform preventative maintenance, emergency repairs, and scheduled updates to building equipment and systems, ensuring minimal disruption to research activities. Lead troubleshooting and repair efforts for all facilities-related issues, including electrical, plumbing, HVAC, and general building systems. Oversee and inspect the work of external contractors involved in facility operations, including landscaping, remodeling, HVAC/R, plumbing, and janitorial services. Ensure compliance with building codes and safety regulations, conducting regular inspections and addressing any discrepancies. Lead installation and modification of building equipment and systems to improve operational efficiency or meet changing research needs. Manage the lighting system, ensuring the replacement of faulty elements and ballasts, and maintaining a functional lighting environment for research areas.

Collaboration and Communication:

Coordinate with research teams, external vendors, and facility contractors to ensure projects are completed on time and within budget. Foster collaboration between the IT and facilities teams, ensuring a unified approach to problem-solving and continuous improvement of both infrastructure and systems. Maintain open lines of communication, providing regular updates to senior leadership and team members regarding ongoing projects, issues, and status reports. Provide clear and detailed daily event logs for both IT and facility-related tasks, keeping stakeholders informed of progress and outstanding issues.

Crisis Management and Safety:

Respond quickly to emergency situations (both IT and facility-related), providing immediate support and escalating as necessary. Develop and maintain disaster recovery and business continuity plans for both IT systems and physical infrastructure. Ensure that all work performed complies with safety standards and protocols, maintaining a safe and secure environment for staff and research subjects. Manage the application of appropriate personal protective equipment (PPE) and ensure safety standards are followed during all repair and maintenance activities.

Supervisory and Training Responsibilities:

Supervise and guide a team of IT and facilities staff, ensuring clear communication and collaboration between departments. Provide training and guidance to staff on the proper use of equipment, systems, and safety procedures, ensuring high levels of competency and compliance. Manage staffing schedules and prioritize workloads to ensure that both IT and facilities needs are met efficiently.

Qualifications:
Education and Experience:

High school diploma or GED required; Associate’s degree or higher in Information Technology, Facilities Management, or a related field preferred. Minimum of 4 years of experience in IT support, systems administration, or facilities management, with at least 2 years of supervisory experience. Proven experience managing IT infrastructure in a clinical research or healthcare environment is highly preferred.

Skills and Certifications:

CompTIA A+ Certification (or equivalent) required; other relevant certifications (e.g., Microsoft Certified, OSHA certifications) a plus. Strong familiarity with Microsoft Windows Server Active Directory environments and clinical research-specific IT systems (e.g., EMR, CTMS). Proven ability to lead IT and facilities teams, with excellent interpersonal, communication, and organizational skills. Proficiency in using Microsoft Office Suite (Outlook, Excel, Teams, OneDrive) and work order management systems. Familiarity with building systems maintenance (HVAC, plumbing, lighting) and relevant building codes and safety regulations.

Physical Requirements:

Ability to lift/carry up to 50 lbs. Must be able to stoop, stand, walk, climb stairs/ladders, and perform maintenance tasks in various physical environments. Must be able to operate a “full-size” van/truck and possess a valid driver’s license.
