The Passenger Planning Specialist is responsible for coordinating and executing all aspects of charter flight operations to ensure seamless, safe, and efficient service for our clients. This role serves as the critical liaison between internal departments, airports, vendors, and clients, ensuring all charter operations are aligned with company standards and client expectations.

Essential Functions:

Coordinates with internal departments (Flight Operations, Safety, Dispatch) to communicate charter destinations and facilitate Safety Risk Assessments for requested airports. Initiates and manages service requests with FBOs, security screeners, caterers, and ground handlers to confirm availability and pricing. Ensures airport-specific requirements (e.g., Prior Permission Required [PPR]) are fulfilled. Plans and manages logistics for each charter flight, including ground handling, baggage services, fueling, catering, and deicing operations. Serves as the main point of contact for charter clients, crew members, and service partners, delivering detailed itineraries and operational updates. Maintains and regularly updates a database of charter destinations, service vendors, and operational contacts. Reconciles post-flight expenses, including services from FBOs, catering, and security screening. Distributes post-trip surveys to clients and analyze feedback to identify operational improvements. Performs other duties as assigned.

Minimum Qualifications:

Minimum 3 years of airline industry experience, with a strong understanding of customer service and ramp operations Flexible schedule with the ability to work evenings, weekends, holidays, and during irregular operations High School Diploma or GED required Must be 18 years of age or older and possess a valid driver’s license Ability to pass a DOT drug test and criminal background check Proficient in English (spoken and written) for effective communication with clients and partners

Preferred Qualifications:

Experience in charter flight operations highly preferred Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) Strong interpersonal and customer service skills Detail-oriented with a positive, team-first attitude Professional appearance and adherence to company dress code Must have a valid passport Willing to travel domestically and internationally as needed.
