- Position Summary
- The Vessel Agent boards vessels to assist vessel owners/operators, cargo interests, and the ships Master in conducting business while in Port. Responsibilities include preparing and filing Customs and Border Protection (CBP) documents, entering and clearing vessels with CBP, attending vessels daily while in port, and generating invoices related to vessel services.
- Essential Duties and Responsibilities
- The essential functions include, but are not limited to, the following
- Prepare preliminary CBP documentation
- Assist the manager with reports, documents, and communications required for vessel port calls
- Communicate with principals as directed by the manager
- Board vessels on arrival to assist with ships business
- Obtain vessel arrival information and relay it to the immediate supervisor or principal
- Enter and clear vessels with CBP
- Attend vessels daily while in port
- Attend vessels on departure to gather cargo documents, departure conditions, and CBP-required documentation
- Prepare and transmit letters and documents to principals
- Generate invoices for CBP-related fees and marine services
- Submit departure crew lists to CBP for foreign-bound vessels
- Maintain CBP marine files and invoice/check logs
- Ensure prompt posting of ships mail and courier packages.
- Minimum Qualifications

Education:
- High school diploma required. A bachelors degree in Maritime Studies, Business Administration, or related fields is highly preferred but not required.

Experience:
- Entry-level position; no prior experience necessary.
- Skills
- Strong oral and written communication skills
- Proficient in Microsoft Suite of applications with emphasis on Excel and Word
- Self-motivated and able to multi-task in a constant changing work environment
- Strong attention to detail and organizational skills
- Ability to work independently and exercise sound business judgment
- Ability to manage high volumes of electronic communication, both in office and while mobile in the field.
- Desired Qualifications
- Relevant certifications in shipping, logistics, or port management
- Knowledge of maritime laws, customs regulations, and environmental policies
- Proficiency in maritime-specific software and general IT skills for documentation and efficient communication
- Hands-on training or experience in maritime operations.
Additionally, strong interpersonal skills and the ability to handle stressful situations are vital aspects of an effective Vessel Agent. Quick decision-making and problem-solving capabilities are also necessary to manage the unforeseen challenges that typically occur in maritime operations.

- The physical demands and work environment for this position include
- Moderate physical activity, including climbing steep gangways, pilot ladders, and cargo holds
- Carrying boxes/packages onto vessels and working irregular hours (late nights/early mornings)
- Boarding vessels via launches at anchorages in varying weather conditions
- Lifting and moving items up to 50 pounds occasionally
- Visual requirements include close vision, distance vision, peripheral vision, and focus adjustment
- Noise levels vary from moderate to high
- Ability to work evenings, weekends, holidays and adapt to fluid ship port schedules in 24/7/365 port operations
