Job Description

GENERAL STATEMENT OF DUTIES
Under the direction of the President & Chief Executive Officer, the Executive Business Administrator collaborates with Marketing and Events staff for special event planning and execution. Key responsibilities also include providing high-level administrative support to members of the executive staff and Chair of the Board of Directors.
ESSENTIAL DUTIES AND RESPONSIBILITIES 1.
Manage, plan, and develop special events, partnering with management to understand event aspirations and target goals. 2. Develop and execute innovative themes and décor for special events, ensuring that all elements of event décor are executed in accordance with the plan, designated time frame, and budget by leading and managing a staff during event setup and break down. 3. Collaborate closely with Marketing, Communications, and Graphic Design teams to ensure that events and event spaces are effectively promoted. 4. Provide insight into interior design aspects concerning Batavia Downs to guarantee that the facility remains contemporary and attractive. 5. Oversee space management processes and team spaces in collaboration with executive staff (ex: office locations, desk assignments, private conference rooms, etc.). 6. Take dictation, transcribe, and occasionally draft correspondence and reports as directed by executive staff. 7. Attend meetings as required for the purpose of taking, preparing, and distributing minutes. 8. Have extensive knowledge and experience in dealing with and understanding our NYS Elected Officials and member municipalities. 9. Prepare confidential materials for NYS Legislature correspondence and WROTBC Board of Directors on behalf of the President & Chief Executive Officer. 10. Perform other related duties as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Strong knowledge of office administration and event planning, as well as an understanding of the organization. Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Strong problem-solving skills and the ability to think on their feet when unexpected events occur. Excellent time management skills with a proven ability to meet deadlines. Proficient in Microsoft Office Suite or similar software with the ability to learn new or updated software.
ACCEPTABLE TRAINING AND EXPERIENCE A
two (2) year degree from an accredited college or university plus fifteen (15) years of executive level experience and ten (10) years of experience in the planning and hosting of large-scale public events, or an equivalent combination of the foregoing experience and training sufficient to indicate the ability to effectively perform the required duties of the position. Must be approved for and maintain a valid Video Lottery Gaming Non-Key Employee license and racing license issued by the New York State Gaming Commission.
PHYSICAL REQUIREMENTS
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. This is a largely sedentary role; however, some filing is required. This includes tasks that may require the ability to lift or move up to 15 pounds at a time, move files, open filing cabinets, and bend or stand as necessary. Effective communication is required. Pay:
$72,100.00 - $87,550.00 per year
