Job Description:
The Receptionist / Office Operations Coordinator will be responsible for creating a professional and welcoming experience for visitors, employees, executives, and clients while helping keep day-to-day office operations running smoothly. This position combines front desk responsibilities with administrative, facilities, security, conference room, and employee support. The ideal candidate is highly organized, attentive to detail, comfortable working independently, and receptive to feedback. The role requires someone who can quickly learn office procedures, exercise sound judgment, and adjust priorities when unexpected needs arise.
Key Responsibilities:
Reception & Guest Services Serve as the primary point of contact for visitors, clients, candidates, and employees entering the office. Welcome guests, manage visitor sign-in procedures, and coordinate temporary building access or badges. Answer incoming calls and direct inquiries to the appropriate individuals or departments. Assist with interview arrivals and provide a polished experience for candidates and guests. Keep the reception area organized, professional, and presentation-ready throughout the day. Office & Facilities Support Provide backup support for the Office Coordinator and serve as a central resource for day-to-day office needs when necessary. Coordinate facility-related requests, maintenance needs, vendor visits, and building communications. Submit and monitor service requests and work orders through internal systems. Communicate property management updates and office-related announcements to employees. Assist with kitchen, catering, copy/print areas, office supplies, and general workplace upkeep. Conference Room & Technology Support Coordinate conference room scheduling, preparation, and post-meeting reset. Ensure meeting spaces have the appropriate supplies and are clean and ready for use. Assist employees with basic audiovisual and video conferencing needs and coordinate with IT when additional support is required. Support internal meetings, training sessions, and events with room setup and breakdown. Security & Access Administration Assist with office access procedures, temporary badges, guest access, and badge/fob administration. Maintain accurate access-related records and assist with periodic audits. Follow established workplace security procedures and help ensure office access protocols are consistently followed. Serve as a Fire Warden and assist with applicable office safety procedures. Mail & Package Management Receive and distribute incoming mail, packages, and deliveries. Coordinate outgoing USPS, FedEx, courier, and other shipments, including certified and international deliveries. Prepare shipping documentation and labels as needed. Space & Office Administration Assist with desk reservations, seating assignments, and office space coordination. Maintain office documentation and local procedures. Track office equipment and accessories and assist with basic troubleshooting or replacement needs. Coordinate laptop returns and other equipment shipments when necessary. Maintain office supplies and assist with invoice and administrative processing. Employee & New Hire Support Help coordinate new hire office setup, including seating, access, parking, headshots, and welcome communications. Work with Executive Assistants and other internal teams on office projects and employee initiatives. Assist with office events, celebrations, and employee engagement activities. Maintain relevant DC office information and resources within internal systems.
Qualifications:
5+ years of experience in a corporate reception, administrative, office operations, or facilities support environment preferred. Strong customer service and interpersonal skills with the ability to interact comfortably with executives, clients, visitors, and employees. Excellent verbal and written communication skills with strong professional etiquette. Highly organized with exceptional attention to detail and follow-through. Able to manage multiple priorities, interruptions, and time-sensitive requests while maintaining a high level of professionalism. Demonstrated ability to use sound judgment and diplomacy when handling sensitive or competing requests. Comfortable learning new processes and incorporating constructive feedback. Proactive, dependable, self-motivated, and willing to step in wherever needed. Strong working knowledge of Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint. Experience with Adobe Acrobat Pro preferred. Comfortable navigating multiple applications and browser tabs while managing several responsibilities simultaneously. High school diploma or equivalent required. Must be comfortable working fully onsite Monday through Friday.
Additional Details:
This is a Contract-to-Hire opportunity. Conversion timing may vary based on performance and business needs. Pay range is $25-$28/hour (depending on experience). The position is fully onsite in Washington, DC. Standard schedule is Monday-Friday, 8:00 AM-5:00 PM, totaling 40 hours per week. Occasional overtime may be required, so candidates should be comfortable with a flexible schedule when business needs arise. The role will involve a significant learning period during the first 30 days, followed by refinement and increased independence as the employee becomes familiar with office procedures and expectations.
