The ideal candidate must have 3 or more years of reception and/or customer service experience at a veterinary office . The Receptionist plays a vital role as the first point of contact for clients, ensuring a welcoming and professional experience while supporting the flow of daily operations. Responsibilities include greeting clients in person and over the phone, maintaining accurate records, processing transactions, scheduling appointments, and providing clerical support to veterinarians, technicians, and administrative staff. This position requires excellent communication skills, customer service abilities, and attention to detail. Receptionists must also be able to manage a high volume of client interactions, coordinate across multiple doctors and departments, and work effectively as part of a large, fast-paced team. Responsibilities Open and close the practice as directed, including securing the building. Ensure public areas (front desk, waiting room, restrooms) are clean, stocked, and welcoming. Greet clients and patients warmly by name upon arrival. Reconfirm and update all client contact information for each visit (i.e. email, phone, address, etc). Maintain a professional and organized reception and waiting area, including current literature and client resources. Answer all incoming calls promptly (within 3 rings when possible) using proper telephone etiquette. Appropriately direct non-routine questions to veterinarians, technicians, or management. Schedule appointments, ensuring the correct length of time is allotted for each type of visit. Maintain accurate and up-to-date client and patient records, including contact information. Prepare and distribute necessary paperwork such as surgery sheets, cage cards, ID bands, rabies certificates, and town hall submissions. Recommend and schedule preventive care services (e.g., vaccines, heartworm tests, fecals, wellness exams). Notify staff of patient arrivals and monitor census to ensure timely care. Review invoices with clients at checkout, confirm preventive and prescription needs, and process payments (cash, credit, check) accurately. Confirm upcoming appointments and manage reminder systems. Prepare sympathy cards for clients experiencing pet loss. Scan and attach patient history and records into the computer system. Coordinate with multiple doctors and technicians to keep appointment flow efficient and minimize wait times. Assist with client communications through email, text reminders, or online portals as directed. Actively contribute to maintaining a positive client experience by de-escalating concerns, addressing complaints professionally, and escalating issues appropriately Qualifications High school diploma or equivalent required. 3+ years of prior experience in veterinary customer service or as a veterinary receptionist Familiarity with veterinary terminology, medical records, and appointment scheduling systems preferred. Strong computer skills, including Microsoft Word, Excel, Outlook, and practice management software (experience with ProVet Cloud a plus). Excellent written and verbal communication skills with a professional, friendly demeanor. Ability to multi-task and remain calm in a busy, sometimes stressful environment. Experience working in a multi-doctor or high-volume practice is a plus. Comfort handling sensitive client situations such as financial discussions, end-of-life care, and emergencies with compassion and discretion.
