Job Description

Overview We are seeking a dynamic and organized Office Manager/Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of daily office functions while maintaining accurate financial records. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to support both internal teams and external clients. This position offers an exciting opportunity to contribute to a vibrant work environment where efficiency and professionalism are valued. Responsibilities Manage daily office operations, including coordinating office supplies and equipment. Oversee multi-line phone systems, directing calls professionally and efficiently while providing excellent customer service. Maintain accurate financial records using MaxxTraxx software, including invoicing, expense tracking, and bank reconciliations. Perform data entry tasks with precision, updating spreadsheets and databases to ensure information accuracy and accessibility. Handle clerical responsibilities such as word processing, proofreading documents, and managing correspondence. Support client communication by scheduling appointments, responding to inquiries, and providing timely support via phone or email. Payroll, payroll taxes, workers comp audits, closing year end financials, insurance and 401k maintainance Requirements 2 years experience and a college degree in accounting or business Proven experience in office management or administrative roles with a strong background in accounting or bookkeeping. Proficiency in Microsoft Office Suite (Word, Excel, Access, Publisher, Outlook), and other productivity software. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong computer literacy including data entry, spreadsheets creation, and word processing with high accuracy. Exceptional phone etiquette and customer service skills; experience managing multi-line phone systems is preferred. Demonstrated clerical experience including proofreading, typing, and document management. Knowledge of office procedures, technical proficiency in office equipment, and familiarity with personal assistant tasks are highly desirable.
