Job Description

Location Pay Schedule Employment Type Travel :
Local and project-area travel as required We are seeking an experienced Key Responsibilities Manage daily project office operations, including supplies, mail, deliveries, visitors, conference rooms, printers, and shared workspaces Maintain contact lists, organizational charts, calendars, meeting schedules, and distribution lists Prepare meeting agendas, minutes, reports, presentations, correspondence, forms, and administrative logs Support employee onboarding, orientations, badge requests, training records, documentation routing, and offboarding Collect, review, and route timecards, attendance records, expense documentation, purchase requests, and approvals Maintain organized and confidential files for contracts, purchase orders, invoices, personnel records, training documents, and project records Coordinate travel, lodging, vehicle records, catering, events, and site visits as needed Track action items, deadlines, approvals, and unresolved administrative issues Support accounts payable and procurement by assisting with invoice routing, receiving documentation, and approval status Communicate professionally with employees, candidates, clients, vendors, subcontractors, and visitors Coordinate assigned administrative staff and help maintain consistent office coverage Protect confidential employee, commercial, and project information Preferred Qualifications Associate or bachelor's degree in business or a related field Experience with construction ERP, document-control, timekeeping, or expense-management systems Experience supporting a large field workforce Work Environment This is primarily an office-based position with occasional walking through active industrial construction areas. Candidates must be comfortable wearing required personal protective equipment when entering the field.
