Brief Description:
Our client, a growing disaster restoration company, is looking for a Project Manager to handle both mitigation and reconstruction aspects of commercial and residential restoration projects out of their office in Thousand Palms CA.
Job Function:
Essential Responsibilities Daily Operations and Project Control
- Dispatch technicians and confirm that crews, vendors, materials, equipment, access, and job information are ready for scheduled work.
- Attend daily sales/operations meetings and communicate project status, schedule commitments, resource needs, risks, and next actions.
- Monitor all active jobs, production timelines, milestones, budgets, gross profit, documentation, change orders, and outstanding approvals.
- Maintain consistent communication among field staff, coordinators, vendors, clients, insurance representatives, and leadership.
- Identify and resolve delays, scope gaps, safety concerns, quality issues, client concerns, and financial risks before they affect job performance.
- Set clear expectations, assign ownership, document commitments, and hold team members and vendors accountable for deadlines and company standards. Weekly Operating Rhythm
- Monday and Friday scheduling meetings: review upcoming work, labor capacity, vendor coverage, materials, access, permits, inspections, and schedule conflicts.
- Tuesday WIP meeting: review job costs, billings, collections, committed costs, gross profit, forecast-to-complete, change orders, and financial exposure.
- Wednesday vendor check review: partner with coordinators to verify invoices, approvals, lien/release documentation when applicable, credits, and vendor balances before payment.
- Review job progress and identify sub-margin, stalled, or otherwise at-risk projects; create and track corrective action plans with clear owners and due dates. Financial and Documentation Accountability
- Review each work order budget before production and manage labor, material, equipment, subcontractor, and other costs against the approved scope.
- Protect target gross profit by controlling scope, documenting supplements and change orders, obtaining required approvals, and escalating financial concerns promptly.
- Maintain complete, accurate, and current job files, including notes, photographs, contracts, authorizations, estimates, schedules, invoices, purchase orders, change orders, permits, and completion documents.
- Verify that work is documented for billing and that jobs are driven toward timely substantial completion, closeout, and final collection support. Client, Vendor, and Team Leadership
- Provide timely, professional updates to clients and other stakeholders; explain next steps, dependencies, decisions needed, and changes to schedule or scope.
- Coordinate field teams, office staff, vendors, and insurance representatives so handoffs are clear and work proceeds efficiently.
- Address performance, quality, conduct, and communication concerns promptly and elevate material issues to leadership.
- Support company growth by improving workflow, developing team capability, protecting the customer experience, and modeling ownership and professionalism. Performance Expectations
- Projects are actively managed against approved scope, schedule, budget, gross-profit goals, quality standards, and client commitments.
- Risks and exceptions are identified early, documented clearly, assigned to an owner, and followed through to resolution.
- Job records are accurate, timely, audit-ready, and sufficient to support production, billing, collections, and dispute resolution.
- Communication is proactive, factual, respectful, and appropriate to the audience and urgency of the issue.
Work Environment and Physical Requirements This position works in office and active job-site environments and may encounter construction activity, dust, noise, odors, temperature variation, uneven surfaces, and other restoration-site conditions. The employee must be able to travel between work locations, use standard office technology, communicate effectively, and safely access project areas appropriate to the role. Job Requirement:
Qualifications
- Demonstrated project-management experience in restoration, reconstruction, construction, property services, or a closely related field; restoration experience preferred.
- Working knowledge of scheduling, job costing, WIP review, gross profit, change-order management, vendor coordination, and project closeout.
- Strong leadership, organization, decision-making, problem-solving, negotiation, and written/verbal communication skills.
- Ability to manage multiple active projects and competing priorities while maintaining accuracy, urgency, and professional service.
- Comfort using project-management, estimating, accounting, scheduling, and Microsoft 365 systems; ability to learn company platforms quickly.
- Valid driver's license and ability to travel to job sites as required. Relevant restoration or construction certifications are preferred where applicable. Compensation
