This position supports Senior Producers, Producers, and Associate Producers while also taking ownership of defined workstreams and select mid-sized projects. The Coordinator is highly organized, proactive, and resourceful—capable of managing multiple priorities, maintaining accurate project documentation, and supporting production logistics from concept through execution. This role requires strong communication skills, attention to detail, and the ability to operate independently while contributing to a collaborative team environment. Key ResponsibilitiesProposal & RFP Support Assist in RFP and proposal development, including research, sourcing, and production feasibility Collaborate with Creative and Production teams to support concept development and execution planning Research vendors, venues, and production elements; validate accuracy and completeness of information Support development of preliminary timelines, budgets, and production approaches Pre-Production Planning Assist in building and maintaining production timelines, workbacks, and schedules Create and update key production documents (run of show, contact lists, inventory grids, production schedules) Support coordination of internal meetings and ensure alignment across teams Track deliverables and follow up with team members to ensure deadlines are met Vendor & Logistics Coordination Support sourcing, outreach, and coordination of vendors and venues Maintain accurate vendor records, quotes, and communication logs Assist with purchasing, shipping, and tracking of production materials Coordinate travel, accommodations, and per diem distribution as needed Budget & Expense Management Track project budgets and ensure production elements align with approved costs Manage expense grids, shipping logs, and print grids with accuracy Collect and organize invoices, receipts, and financial documentation Flag potential overages or discrepancies to Producers Team & Project Coordination Support Senior Producers, Producers, and Associate Producers across multiple projects Oversee and guide Studio Coordinators, Event Associates, and interns on assigned tasks Ensure deliverables are completed accurately and on time Provide proactive updates on project status, risks, and next steps Production Logistics & Documentation Maintain organized project folders, trackers, and shared drives Ensure all documentation is current, accurate, and accessible to the team Support cross-functional communication between office, warehouse, and onsite teams Assist in managing production schedules and logistics across all phases Onsite Event Execution Provide onsite support including load-in, execution, and load-out Assist with vendor and staff coordination, check-in, and production area organization Troubleshoot basic onsite challenges and escalate as needed Maintain a professional, client-facing presence during events Post-Production & Wrap Support budget reconciliation and expense tracking Assist in organizing final documentation, receipts, and project files Contribute to post-event reporting and internal recaps Identify areas for improvement and share learnings with the team Industry Research & Development Stay informed on industry trends, new vendors, venues, and technologies Contribute ideas and research to enhance production quality and innovation Core Skills & Attributes Strong organizational and multitasking skills with attention to detail Clear and professional communication skills Ability to manage multiple priorities in a fast-paced environment Proactive, self-starter mindset with strong follow-through Problem-solving ability with a solutions-oriented approach Collaborative team player with emerging leadership capabilities Working knowledge of production, logistics, and event execution Tools & Technology Google Workspace (Drive, Docs, Sheets, Calendar) Microsoft Office (Excel, PowerPoint, Word, Outlook) Project management and scheduling tools Budget and expense tracking systems Education & Experience 2+ years of experience in experiential, event production, or related field Experience supporting or coordinating live events or activations Familiarity with budgeting and production workflows preferred Bachelor's degree or equivalent experience preferred Valid driver's license required Physical Requirements Ability to stand, sit, walk, climb, crouch, and crawl for extended periods, up to 8 hours per day. Frequent use of hands and arms for handling, reaching, and performing tasks throughout the workday. Ability to regularly lift and carry 5-50 lbs., and participate in team lifts of 50-100 lbs. Frequent viewing of a computer monitor. Work Environment Regular exposure to fumes, heat, sun, and outdoor elements. Moderate noise levels consistent with a production or field environment. Travel required up to 50% of scheduled time with frequent overtime while traveling.
Pay:
$30.00 - $33.00 per hour Expected hours: 40.0 per week
