Job Description

We are recruiting for a Senior Administrative Assistant for our client in the Placer County area. This is a great temp to hire opportunity for an experienced administrative professional to join a mission driven organization that positively impacts the region with their services. This position will report to a highly engaged and collaborative Executive Director and will provide administrative assistance to leaders, Board members, and various departments. The ideal candidate will be a polished, mission driven professional with deep experience supporting Board meetings, managing meeting calendars and minutes, engaging donors, and handling corporate reporting with detailed philanthropic insight. Highly proactive and adept at leveraging AI tools, this self-starter confidently drives and manages their own workload with consistency and excellence.
Pay:
$30-$31/hour

Newcastle, CAResponsibilities:
Provide administrative support to the Executive Team, including scheduling and meeting coordination.

Prepare agendas, materials, minutes, and follow up for Board and committee meetings.

Manage communications: phones, visitor greeting, and email correspondence.

Coordinate travel, maintain calendars, and assist with policy and HR document updates.

Complete annual surveys, support regulatory filings, and manage insurance certifications.

Maintain digital and archived files in compliance with the Document Retention Policy.

Oversee mailings, data entry, and database accuracy.

Serve as primary liaison for office vendors.

Support office safety meetings, supply ordering, and general office maintenance.

Assist with event logistics, vendor coordination, and attendee tracking.

Manage daily mail and ensure readiness of shared office spaces.
Qualifications:
3 years of corporate administrative or executive assistant experience in non-profit industry is highly preferred. High school diploma, or equivalent, required, College degree preferred. Strong organizational, communication, and project coordination skills.

High attention to detail, accuracy, and confidentiality.

Advanced in Microsoft Office and experience with databases or office management systems.

Ability to manage multiple priorities, solve problems proactively, and work independently or collaboratively.

Experience with file management and office operations.

Knowledge of email marketing, event, or website platforms is a plus.
